Planning, Building & Resiliency Administrative Assistant (FULL TIME)

 

Summary: Under the direction of the Director of Planning, Building & Resiliency (“Director”),  this position performs the administrative and clerical functions to ensure the efficient operation of the department.  This position also acts as clerk for the Zoning Board of Appeals (monthly meeting), Planning Board (monthly meeting) and Building Board of Review (typically meets a few times a year).  

 

Much of the work involves a significant amount of interaction with customers, as well as with other departments and Board members, via written communication, telephone and in-person. The position works extensively with the Town’s online e-permitting portal, Viewpoint. Relevant skills include written, word processing, IT, organizational, as well as the ability to work independently, multi-task, and work well under pressure.

Primary functions include:

 

  1. Serve as the initial contact for e-Permitting and walk-in customers and has regular contact with the public, contractors, engineers, architects, and developers.  Answer telephone and email requests from customers and the public daily. 

  2. Process and assist customers with all building, electrical, mechanical, plumbing, demolition and zoning permit applications and record and maintain relevant computerized records and permanent documents. Communicate regularly with the Building Official to assist with maintaining appointments with applicants and help ensure prompt replies to phone calls and emails from applicants seeking a response from the Building Official. Schedule inspections for the part-time Electrical and Plumbing/Mechanical Inspectors and provide assistance with service calls as needed.  Receive, process and maintain the Chicken and Hen registrations and maintain and update the associated computerized documents and spreadsheets. 

  3. Attend Zoning Board, Building Board and Planning Board meetings; book rooms and schedule Zoom meetings; prepare and post meeting agendas and newspaper notices in a timely manner to adhere to strict deadlines; prepare and mail notifications to abutters; prepare and compile agenda packets for Board members and Town Solicitor to be distributed, working with the Director and the Building Official; take, record, and prepare minutes; disseminate information, as necessary; compose Decisions and record in the Clerk’s Office upon approval by the applicable Board Chair; organize and maintain all essential documentation in the Land Evidence Vault and office; update computerized listing with latest information. 

  4. Prepare deposit slips for fees and payments received, expense vouchers, and invoices for the Department and submit daily to the Financial Department. Prepare monthly permit reports, state fee reports, and other monthly reports as needed, as well as quarterly radon reports and assist with annual audit for the Building Department.  Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Maintain the Iron Mountain records system for the Department and organize, send and retrieve files/boxes as needed. 

Ideal candidate will have:

  • Excellent verbal and written communication skills

  • Excellent organizational skills and detailed oriented with a high degree of accuracy

  • Must be self-directed and able to take initiative and work independently

  • Able to multi-task and work well under pressure while remaining calm and professional in situations of stress

  • Able to plan, organize and prioritize work in order to meet schedules and timelines

  • Proficient in office software; Microsoft Word, Excel, and other special applications specific to the department

  • Applicant will be trained on Viewpoint and will be expected to become proficient in Viewpoint during the probationary period.

 

Hours:

Monday, 8:30 am until 8:00 pm

Tuesday - Thursday, 8:30 am until 4:30 pm

Friday 8:30 am until 12:00 noon

Candidates must be willing to work a minimum of (two) 2 evenings per month.
